Middle Tennessee Trailer Rentals, LLC (“MTTR,” “we,” “us,” “our”) respects your privacy. This Privacy Policy explains what information we collect, how we use it, who we share it with, and your rights with respect to that information.

This Policy applies to:

  • the public website at midtntrailerrentals.com and any subdomains, including the help site at help.midtntrailerrentals.com;
  • the short-link / QR redirect service at mtt.rent;
  • our live chat, email, SMS, and phone support channels;
  • our online booking platform; and
  • electronic monitoring and access systems we use to operate trailer rentals.

This Policy does not govern the privacy practices of third-party services we use, each of which operates under its own privacy policy. We identify these third parties in Section 4 and link to their policies where applicable.

1. Who We Are and How to Reach Us

For privacy-specific requests (access, deletion, correction, portability, or to exercise the rights described in Section 11), email support@midtntrailerrentals.com with the subject line “Privacy Request” and identify the right you wish to exercise.

2. Information We Collect

We collect the categories of information described below. The actual categories collected from any individual depend on how that individual interacts with our services.

(a) Information you provide directly.

  • Booking and account information: name, email address, mailing or billing address, telephone number, date of birth, and tow vehicle information.
  • Identity verification information: a photograph of your government-issued driver’s license (front and back) and a self-portrait photograph (“selfie”) used to confirm that the license belongs to you. Identity verification is performed by Stripe Identity. See Section 5 for important detail about how this data is collected and where it is stored.
  • Payment information: payment card number, expiration date, security code, and billing address. Payment information is collected by Stripe and is not received or stored by MTTR.
  • Insurance and tow-vehicle representations: representations you make at booking about your auto insurance and your tow vehicle’s compatibility with the trailer.
  • Communications: the contents of messages you send us through web chat, email, SMS, or phone, including any photographs or attachments you send.
  • Optional information: anything else you choose to provide, including review text and feedback.

(b) Information collected automatically when you use our digital surfaces.

  • Device and network information: internet protocol (IP) address, device type, operating system, browser type and version, language preference, and referring URL.
  • Usage information: pages viewed, links clicked, time spent, search queries, and similar interaction data.
  • Cookies and similar technologies: see Section 7.
  • Server, content-delivery, and edge logs: timestamps, requested URLs, response codes, and security signals from our hosting, content-delivery, and edge providers.

(c) Information collected during a trailer rental.

  • Reservation records: booking platform records of your reservation, access-code issuance, and access events at the trailer’s keybox.
  • Trailer telematics: satellite-based location (GPS), motion events, geofence entries and exits, and similar position and movement data generated by an electronic device installed on the trailer. Telematics collection is active during the rental term and ceases when the rental is closed. See Section 6.
  • Photographs you submit: pickup, return, and incident photographs you submit through the booking platform, including metadata embedded in those photographs (timestamp, GPS coordinates, camera information).

(d) Information from third parties.

  • Identity verification results: the outcome of identity-verification checks performed by our third-party identity verification provider (pass, fail, or specific failure reason) and extracted document fields (name, address, license number, date of birth, expiration date).
  • Fraud and risk signals: signals from Stripe’s fraud-prevention services (Stripe Radar) when you attempt or complete a payment.
  • Publicly available information: if necessary to recover a trailer or pursue an unpaid claim, we may obtain public records (e.g., property records, court records) consistent with applicable law.

We do not knowingly collect sensitive personal information beyond what is described above. The categories of sensitive personal information we do collect are: government identifier (driver’s license number), and biometric information that may be processed by our third-party identity verification provider for the limited purpose of verifying your identity (see Section 5).

3. How We Use Information

We use the information we collect for the following purposes:

(a) To provide and operate the rental service. Accepting bookings, verifying identity, issuing access credentials, monitoring the trailer for security and recovery, processing payments, and otherwise performing our obligations under the Rental Agreement.

(b) To communicate with you. Sending booking confirmations, access codes, return reminders, account notices, support responses, and other transactional communications. With your separate consent at booking, we may also send service-related SMS messages.

(c) To enforce our agreements and protect our property. Investigating and responding to suspected breach of the Rental Agreement, recovering trailers that have not been returned, defending against fraudulent chargebacks, and resolving disputes.

(d) To detect and prevent fraud, theft, and misuse. Including by analyzing patterns of attempted bookings and use, and by working with our payment, identity-verification, and telematics providers.

(e) To comply with law. Including tax and recordkeeping obligations, response to lawful requests from government authorities, response to subpoenas and court orders, and other legal obligations.

(f) To improve our services. Including by analyzing aggregate usage patterns and customer feedback. We do not use sensitive personal information for service improvement.

(g) To support a sale, merger, or acquisition of the business. Personal information held by MTTR is a business record that may transfer to a successor entity. See Section 4(c).

We do not use personal information for purposes that are materially different from those disclosed in this Policy without giving you notice and, where required, obtaining your consent.

4. How We Share Information

We share personal information in the following categories of situations:

(a) With service providers acting on our behalf. The categories of service providers, the categories of information shared, and the purpose of the sharing are:

Service providers process your information on our behalf under written contracts that restrict their use of that information to the purposes for which we engaged them, except where a service provider also acts as an independent business or controller for its own purposes (see Section 5 regarding identity verification).

(b) With government authorities and other parties for legal reasons. We share information when we believe in good faith that disclosure is necessary to (i) comply with a law, regulation, subpoena, or court order; (ii) respond to a lawful request from a law-enforcement or other government authority; (iii) recover a trailer or other property; (iv) protect the safety of any person; (v) defend against claims; or (vi) enforce our agreements.

(c) In a sale, merger, or acquisition. If MTTR is sold, merged with another business, or undergoes a reorganization, customer records — including the personal information described in this Policy — are part of the business assets that transfer to the successor entity. We will notify you of any such transfer to the extent required by law.

(d) With your direction or consent. We share information with third parties when you direct us to do so, or when you have separately consented to that sharing.

We do not sell personal information for money or other valuable consideration. We do not share personal information with third parties for cross-context behavioral advertising. We have not done so in the preceding twelve months.

5. Identity Verification and Biometric Information

We use a third-party identity verification service to confirm renter identity before rental authorization. This section provides additional detail because the process involves sensitive personal information, including biometric information, which is subject to state-specific laws.

(a) What is collected. Identity verification requires submission of a photograph of your government-issued driver’s license (front and back) and a self-portrait photograph (“selfie”). The verification process compares the photograph on the driver’s license with the selfie to confirm that the license belongs to you. The comparison may involve the generation and analysis of facial-geometry information derived from the images.

(b) Who collects and holds the underlying images and biometric information. The driver’s license images, the selfie image, and any facial-geometry biometric template generated for the comparison are collected and held by our third-party identity verification provider, not by MTTR. MTTR does not receive or store the facial-geometry biometric template. MTTR may have the technical ability to retrieve the underlying driver’s license and selfie images through the provider’s API; our policy is not to retrieve or store those images and to rely on the provider’s hosted retention of the verification record.

(c) What MTTR receives and stores. MTTR receives and stores: (i) the verification result (pass, fail, or specific failure reason); and (ii) extracted document fields including name, address, driver’s license number, date of birth, and license expiration date.

(d) Purpose. The exclusive purpose of identity verification is to (i) confirm that the person attempting to rent a trailer is the named cardholder on the payment method and the licensed holder of the driver’s license; (ii) prevent identity-based fraud; and (iii) satisfy our obligation under the Rental Agreement to verify driver-license validity before granting access to the trailer.

(e) Retention. The underlying driver’s license images, selfie image, and any facial-geometry biometric template are retained by our identity verification provider under that provider’s published retention practices. MTTR retains the verification result and extracted document fields for the duration described in Section 8. For Illinois residents under the Biometric Information Privacy Act (BIPA), Texas residents under the Capture or Use of Biometric Identifier Act (CUBI), and Washington residents under RCW 19.375: any facial-geometry biometric information collected and held by our provider is retained and destroyed under the provider’s published practices. MTTR does not separately collect, retain, or possess biometric identifiers or biometric information.

(f) Consent. By initiating identity verification at booking, you consent to (i) the collection of your driver’s license images and selfie by our identity verification provider; (ii) the generation and use of facial-geometry information by the provider for the comparison, where applicable; (iii) the disclosure of the verification result and extracted document fields to MTTR; and (iv) MTTR’s storage and use of those results consistent with this Policy. Where state law requires written or electronically-signed consent specifically for biometric information (including Illinois, Texas, and Washington), the consent obtained at the start of the verification flow serves as that consent.

(g) Revoking consent and deletion. You may revoke your biometric consent at any time by emailing support@midtntrailerrentals.com with the subject line “Revoke Biometric Consent.” We will (i) instruct our identity verification provider to delete the biometric template and underlying images held in connection with your verification; (ii) delete the extracted document fields stored by MTTR unless we have an overriding legal or contractual basis to retain them (for example, an open billing dispute or a pending insurance claim); and (iii) confirm completion in writing.

(h) Current provider. The specific identity verification provider used by MTTR is identified in our vendor records and may be updated from time to time without amendment to this Policy, provided the substance of this Section continues to describe the provider’s data handling accurately.

6. Trailer Telematics During Rental

Each MTTR trailer is equipped with an electronic monitoring device that records satellite-based location and motion data. This collection is disclosed in Section 23 (Monitoring) of the Rental Agreement and your acceptance of the Rental Agreement at booking constitutes consent for the duration of the rental term.

(a) What is collected. GPS coordinates, movement and motion events, geofence entries and exits, and similar position and movement data.

(b) When it is collected. Telematics collection begins when the access code for the trailer is issued and ends when the rental is closed in our booking platform.

(c) Purposes. We use telematics data only for: (i) operational purposes (verifying pickup and return, identifying trailers in inventory); (ii) security, theft prevention, and recovery; (iii) verifying compliance with the Rental Agreement, including the operating-area restriction in Section 13 of the Rental Agreement; (iv) responding to incidents; and (v) supporting any related claim, dispute, or legal proceeding.

(d) Retention. We retain telematics data associated with a rental for ninety (90) days following completion of an incident-free rental, after which we delete or aggregate it for operational analysis. Telematics data associated with a rental that gave rise to an incident, claim, dispute, or insurance recovery is retained for the duration described in Section 8.

(e) No sharing with marketers. We do not share telematics data with any third party for advertising, marketing, or commercial purposes unrelated to the operation of the rental service.

7. Cookies and Similar Technologies

We use cookies and similar technologies on our digital surfaces for the following purposes:

(a) Strictly necessary cookies enable core functionality such as session management, fraud prevention, and security. These cookies cannot be disabled in our systems.

(b) Analytics cookies, including those set by Google Analytics 4, help us understand how visitors use the site so we can improve it.

(c) Live chat cookies are set by Tawk.to to enable our live chat widget.

We do not use cookies or pixels for cross-context behavioral advertising and we do not allow third parties to do so through our sites.

Do Not Track signals. Our site does not respond to “Do Not Track” browser signals because the analytics and chat platforms we use do not currently support a uniform response to that signal. California residents and others may exercise the rights described in Section 11 to opt out of analytics or chat where applicable.

Browser controls. You can configure your browser to refuse some or all cookies or to alert you when cookies are being sent. Disabling cookies may make parts of the site unusable.

8. How Long We Keep Information

We retain personal information only as long as needed to fulfill the purposes for which we collected it, to comply with legal obligations, and to defend against potential claims.

We may retain information longer than the periods above where required to comply with a legal hold, pending litigation, or government investigation.

9. Security

We use commercially reasonable administrative, technical, and physical safeguards to protect personal information against unauthorized access, alteration, disclosure, or destruction. These include encryption in transit (HTTPS/TLS) for our digital surfaces, access controls and password management, and contractual confidentiality obligations on our service providers.

No method of transmission over the internet or method of electronic storage is one hundred percent secure. We cannot guarantee absolute security.

If a security incident affecting your personal information occurs, we will notify you consistent with the requirements of applicable state and federal law.

10. Children

Our services are not directed to children. We do not knowingly collect personal information from children under the age of thirteen (13). The Rental Agreement requires renters to hold a valid driver’s license, and our published policy sets a minimum renter age of eighteen (18). If you believe a child under thirteen has provided us with personal information, contact support@midtntrailerrentals.com and we will delete the information.

11. Your Privacy Rights

Depending on where you live, you may have specific rights with respect to your personal information. We honor the following rights for all users, regardless of state of residence:

  • Right to access. Request a copy of the personal information we hold about you.
  • Right to correct. Request correction of inaccurate personal information.
  • Right to delete. Request deletion of personal information, subject to legal exceptions (open rental, billing dispute, recordkeeping obligation, pending claim).
  • Right to portability. Request your personal information in a portable, machine-readable format.
  • Right to opt out of marketing. Stop receiving marketing emails or SMS at any time.

To exercise any of these rights, email support@midtntrailerrentals.com with the subject line “Privacy Request”, identify the right you wish to exercise, and include enough information for us to identify your account.

Verification. We will need to verify your identity before fulfilling a request. We may ask for additional information sufficient to confirm that you are the individual whose information is the subject of the request.

Response timing. We will respond within forty-five (45) days. If we need more time, we will tell you and may extend our response period as permitted by applicable law.

No discrimination. We will not discriminate against you for exercising any privacy right.

Authorized agents. California, Tennessee, and certain other state residents may use an authorized agent to submit a request on their behalf. The agent must provide written authorization signed by you, and we may verify your identity directly.

11.1 California (CCPA / CPRA)

If you are a California resident, you have the rights above, plus:

  • Right to know the categories and specific pieces of personal information we collect, use, disclose, and sell or share. The categories collected, sources, business purposes, and recipients are described in Sections 2, 3, and 4. We have not sold or shared personal information for cross-context behavioral advertising in the preceding twelve months.
  • Right to limit the use and disclosure of sensitive personal information. The sensitive personal information we collect (driver’s license number; biometric information processed by our third-party identity verification provider) is used only for the purposes described in Sections 3 and 5 and is not used to infer characteristics about you.
  • Shine the Light (California Civil Code §1798.83): we do not share personal information with third parties for those third parties’ direct marketing purposes.

11.2 Tennessee (TIPA)

If you are a Tennessee resident, effective July 1, 2025, you have the rights above, plus:

  • Right to opt out of the sale of personal information, targeted advertising, and certain profiling. We do not engage in any of these activities.
  • Right to appeal a denial of a privacy request. To appeal, reply to our response with the subject line “Privacy Appeal.” If we deny your appeal, you may contact the Tennessee Attorney General’s office at https://www.tn.gov/attorneygeneral/.

11.3 Other states

If you are a resident of Virginia, Colorado, Connecticut, Utah, Iowa, Texas, Oregon, Montana, Delaware, Minnesota, Indiana, New Hampshire, New Jersey, Maryland, Maine, or another state with a comprehensive consumer privacy law, you have substantially the same rights described above and may exercise them the same way. We will honor any state-specific procedural rights (including appeal mechanisms) required by the law of your state of residence.

11.4 Illinois, Texas, and Washington (biometric statutes)

If you are a resident of Illinois, Texas, or Washington and you have completed identity verification through our third-party identity verification provider, please review Section 5 for the specific disclosures and retention information required by BIPA (740 ILCS 14), CUBI (Texas Business & Commerce Code §503.001), and RCW 19.375. To revoke your biometric consent, follow the procedure in Section 5(g).

12. Marketing Communications

Email. If we send you marketing email, every message includes an unsubscribe link. The CAN-SPAM Act gives you the right to opt out of marketing email at any time. Our mailing address is at the top of this Policy.

SMS. We do not send marketing SMS. Service-related SMS — including booking confirmations, time-bound trailer access codes, return reminders, and booking-status updates — is sent through our booking platform under separate consent obtained at booking. Message frequency varies based on your booking activity, typically two (2) to five (5) messages per booking. Reply STOP to opt out of service messages; HELP for help. Standard message and data rates may apply. We do not share your SMS opt-in or phone number with third parties for marketing.

Our website and help site may contain links to third-party websites and services. Once you leave our site, this Policy no longer applies and we are not responsible for the privacy practices of those sites. Review the privacy policies of any third-party sites you visit.

14. International Users

Our services are intended for use only within the United States. If you access our services from outside the United States, your information will be transferred to, processed in, and stored in the United States and, in some cases, in other countries where our service providers operate. By using our services, you consent to the transfer of your information to the United States and to those locations.

15. Changes to This Policy

We may update this Policy from time to time. The “Last Updated” date at the top of this Policy reflects the most recent change. If we make material changes, we will provide prominent notice on the website and, where required by law, by direct communication. Continued use of our services after the effective date of an update constitutes acceptance of the updated Policy.
